Spend control for multi-entity companies

Run your group's spend
like one company.

Derive brings purchasing, contracts, budgets and accounts payable together across your group. The AP Agent prepares invoices for review, so your team spends less time keying and chasing and more time on the decisions that need its judgement. Derive gives finance more room to lead.

Derive treats your entities as a structure, not a filter.

A purchase request, a supplier contract or a budget line exists across the group from the start. Finance can look at the whole group or at one entity without logging out and back in. Managers see only the entities that are theirs.

  • One inbox, one set of supplier records, one set of rules.
  • Group view for finance, entity view for the people closest to the spend.
  • Your accounting stays in Xero. Derive sits alongside it.

Four modules. One seamless platform.

Accounts payable

One inbox for every entity's bills. Prepared for review, matched and coded, then posted to the right Xero file after approval.

AP Agent

The AP Agent extracts the details, matches the supplier and entity, codes the bill and runs checks, using your business’s own accounting instructions. Your team reviews and approves.

FAQ

What does Derive do?

Derive is a platform for multi-entity companies that brings purchasing, supplier contracts, budgets and accounts payable into one place across every entity. An AP Agent prepares invoices for your team to review, and approved bills post to the right Xero file.

Who is Derive for?

Derive is built for group businesses running 5–50+ entities on Xero with a lean finance team, including franchise networks, commercial property portfolios and multi-site operators. We work closely with CFOs and Financial Controllers who want to minimise busywork for their teams, so they can focus on the decisions that matter.

Multi-entity companies
How is Derive different from tools that work one Xero file at a time?

Derive sees every entity at once. Tools built around a single Xero file run one instance per entity, so each one only sees its own bills. That is why Derive can flag an invoice sent to more than one entity, and why your team works from one inbox instead of switching files.

Do we need to replace Xero?

No. Each entity stays in Xero, and approved bills post to the right file. Derive also connects to SAP, Workday and Okta.

Does the AP Agent approve invoices?

No. The AP Agent prepares each invoice. It extracts the details, matches the supplier and entity, prepares the coding and runs checks. Your team reviews and approves, and nothing is paid without your team.

AP Agent
What happens when the AP Agent gets a bill wrong?

Your reviewer corrects it before approval. Those corrections revise the instructions kept for that supplier and entity, so the same fix isn't needed twice.

Can we start with AP without the Procurement module?

Yes. Accounts payable works on its own. Add the Procurement module when you need it, and budgets can be tracked as bills arrive without it.

How is Derive priced?

Pricing depends on the modules you use and your invoice volume, and we scope it with you in the demo.

Give your finance team more room for the decisions that matter.
